Who it is for
This template is for owners and estimators in small service businesses who need a repeatable way to price one job at a time. It is especially useful when labor, materials, subcontractors, equipment, permits, travel, overhead, contingency, capacity, and scope changes can all affect the result.

Five practical benefits
See the full job cost. Combine loaded labor, materials, shipping, delivery, tax, equipment, subcontractors, permits, travel, overhead, and contingency without hiding the calculation.
Compare pricing methods clearly. Review hourly, fixed-fee, time-and-materials, and recurring-service prices beside a target-margin price, markup, and gross margin.
Check capacity before committing. Convert crew size, productive hours, utilization, and planned person-hours into an estimated duration and finish date with visible prerequisite warnings.
Protect the accepted scope. Keep the original estimate separate, record later changes in an approval log, and flow only approved changes into revised cost, price, hours, and schedule.
Learn from the actual result. Compare estimate with actual revenue, cost, labor hours, schedule, gross profit, and gross margin so the next estimate can improve.
Three example use cases
Price a plumbing repair
Estimate technician and helper time, parts with waste and tax, a permit or disposal fee, labor-hour overhead, and contingency. Compare the calculated price with your chosen fixed fee before issuing the estimate.
Quote a recurring cleaning service
Set a per-visit price and planned visit count, include loaded labor and supplies, confirm weekly capacity, and review whether the resulting margin fits your owner-entered target.
Control a customer-requested scope change
Preserve the accepted estimate, record incremental hours and cost, enter the price adjustment and approver, and let only an Approved change update the revised totals.
This is not for you if…
You need accounting software, payroll, invoicing, inventory control, dispatching, resource-level scheduling, a legal contract, tax advice, or a guarantee that a calculated price will be competitive or profitable. This is a planning and estimating template; you remain responsible for local rules, commercial judgment, and customer terms.
Frequently asked questions
1. What costs can I include?
You can plan labor, materials, shipping, delivery, sales tax, equipment, rentals, subcontractors, fuel, mileage, mobilization, disposal, PPE, permits, inspections, travel, lodging, insurance or bond allocation, warranty allowance, and other direct costs. Use only categories that apply to your business and job.
2. How does the workbook handle overhead?
Choose one method: labor hour, per job, revenue percentage, or manual amount. The selected calculation stays visible. Revenue-percentage overhead uses direct algebra to avoid a circular reference and is unavailable when target margin plus overhead is 100% or more.
3. What is the difference between margin and markup?
Markup divides profit by cost. Gross margin divides profit by selling price. The Pricing & Margin sheet shows both so you do not have to treat the terms as interchangeable.
4. Can I send the Customer Estimate sheet to a customer?
It is designed as the printable customer-facing view and excludes internal cost, burden, overhead, contingency logic, markup, and margin. Before sending it, replace or deliberately retain each owner-review placeholder and have your business terms reviewed as appropriate.
5. What happens after the customer accepts?
Stop editing the original estimate for scope changes. Record each change in Change Orders; only rows with Status = Approved update revised cost, price, labor hours, and schedule totals. Draft, pending, and rejected rows remain visible but do not change the approved totals.
